PytnaVoda: the system behind a home water delivery service.

Water bottles delivered to homes in Bohodukhiv, Okhtyrka and Trostianets. We set up their CRM and built a dispatch tool and automated workflows around it, connected to the drivers’ app.

PytnaVoda is a business owned by the founder’s family. We run everything digital for it.

The business

PytnaVoda is a family business that delivers 19-litre water bottles to homes in Bohodukhiv, Okhtyrka and Trostianets, in Ukraine. Customers order by phone or by message, and a person deals with them.

Every day, orders have to be passed to the drivers, the warehouse prepared for the next day and the day’s work reconciled.

What needed solving

  • One place for orders and each customer’s history.
  • Passing each order to the driver without relying on a chat.
  • Running the warehouse in the same system as the orders.

Before, dispatch posted every order in a Viber group and the driver replied with a “like”. Nothing else was recorded, and the warehouse was kept in a Google Sheet.

What we built

Four parts around the same data.

CRM for orders and customers

We set up KeyCRM as the base: orders, each customer’s history, and roles and access for the owner, dispatch, drivers and couriers.

Dispatch tool

An internal page for whoever takes the orders: it finds the customer by phone number, shows their history and what they owe, and creates or repeats an order at the right rate for them.

Automated workflows

Workflows in n8n, installed on its own server: the daily and weekly report, what the warehouse has to prepare for tomorrow, a Telegram bot for recording warehouse stock, and alerts when something fails or when the CRM’s structure changes. Every call to the CRM goes through a gateway that shares out its request limit.

Driver app, connected to the system

We connected the drivers’ app to the CRM and the workflows: access by role, screens for drivers and couriers, and the data for the route, the orders, the warehouse and the day’s summary.

What changed

  • Orders no longer live in a Viber group: they stay in the CRM, with each customer’s history.
  • The warehouse moved from a Google Sheet to the same system as the orders.
  • Dispatch, app and reports all read the same data.

We don’t publish operating figures until they are verified, with their period and their definition.

What comes next

  • Improving the stock alerts.
  • Continuing to bring the driver’s work into the same system.
  • Continuing to centralise and tidy up the automations.
